Gunderson High School Foundation Meeting Minutes Monday, December 1, 2003 - 6:00 PM Greg called the meeeting oto order at 6:07PM. Attendees: Jim Henderson, Demerris Brooks, Veronica Lewis, Greg West, Robyn Schlice, Ronnie Townsend * Approval of November 3, 2003 meeting minutes Veronica moved (2nd Demerris) to approve the minutes as written. The motion passed unanimously. * Treasurer's Report - Jim Greg suggested an expense (re-)imbursement request form for use by the Foundation. The person requesting funds would fill out the form, attach reciepts or documentation, and would pass it on to the treasurer for payment. The form was adopted by consensus. * NYLC Grant to Elvira Paguada - Greg (See notes below) Greg requested a check for Elvira based on an email from Cindy Chavez's office confirming the Council Member's grant of $500 to Elvira. * Annual Report - Greg - The annual report is in the mail. You should have gotten your copy by now. * HNVF Grant Update - Greg, Demerris Demerris reported that the job was reposted again. People should be hired by the holiday break, however, the College and Career Center is very active. Greg reported that we need to follow up on the quarterly report for the City as soon as we get back from the holiday break. Demerris mention that the end of January would be a good time for a visit from the City. * Alumni Directory Update Demerris reported that Stephanie has gotten addresses for the last 8 graduating classes. She is also in contact with VPlex. * Continue Post Mortem on the Technology Scholarship - All (Also see notes below.) Greg will produce a promotional flyer and get it into Trish, Ciff, Rob and Jim Grady's hands near the holidays. Trish Lynch suggested in an email that the candidates should burn some of their work on a CD and submit it with the application. * Report on Alumni Fund Raiser--Spring Crab Feed with Boosters (see notes below) Demerris pointed out that February 21st is the end of the Presidents' Day vacation week. Greg will contact the Booster Club leadership to make sure that they know this. * Discussion of '03-'04 membership drive - Need to shoot for 200 members. This would enable us to match the Fadness endowment with memberships over the course of two years. We are at roughly 120 between our first and second year membership drives. How to? How to get motivated people to participate? Common cause- theme that they can ralley around. Specific objectives. Veronica suggested we use the students involvment to draw in participant involvment. Program participation- schaloarships, and promoting the CA "Distinquished school" concept. Getting support & input from current students and students from other campuses. Staff input- Greg volunteered to go to the next inservice (Jan 23) to speak to staff (approximately 75 staff memebers)- pitch Foundation and ask for ideas. Robyn volunteered to go to a leaderhip class (85 kids) to ask what the kis want/ needs are. Will email Phil H. To set up date. Greg to talk with PTSA. Robyn suggested a door to door neighborhood campaign in which the students could get community service. We might use a complimentary performance ticket as a draw. Demerris suggested targeting "young alumni'- from the past 5 years. Jim suggested a combination approach. Passion and a compelling new case statement is missing. Veronica said we need to keep revisiting and updating our mission. Driving force for staff: Encouraging students to do best work, creating a college culture. The school will be concentrating on WASC accreditation through the end March. WASC visits on March 22, 2004. * Other Business: Jim moved (2nd Ronnie) $20 for the filing fee for our Statement of Information for Domestic Non-profit Corporations. The motion passed unanimously. Our next meeting is January 5, 2004 * Adjourn - The meeting was adjourned at 7:25 PM. *NYLC Grant - Elvira has secured $700 in contributions from County Supervisor Alverado and City Councilmember Chaves. I'll try to get documentation before the meeting on Monday so that we can write her a check. She has a 12/5 deadline to send money in. * HNVF Grant Update - The contract with the City has been signed by Demerris. The City Analyst, Mark Resta, has requested to come observe and audit the program in January. * Spring Crab Feast - The date of the event is Saturday, 2/21/04 at the Italian American Heritage Hall in downtown San Jose, 425 N. 4th St. I I attended a Crab Feast committee meeting on 11/6 and produced a Crab Feast Flyer for Foundation ticket sales based on that information. I sent the crab feast flyers out to Foundation members with the annual report offering them a Crab Feast/Foundation membership package deal. I also sent invitations to our major donors (Westfield, Great Oaks Water Co., Samsung, Pat Dando's Office, and the Veronica Lewis Campaign) to attend as our guests. I have also requested to reserve a VIP table at the Crab Feast (10 VEP Tickets for $500, of which we will get $200 back). I also investigated the cost of flying in some Maine lobster for the event. I've gotten estimates of between $6 and $10 a pound. The prices vary nearly daily. * Technology Scholarship - I've gotten proof of enrollment from both of last year's scholarship winners. Also, I'd like to revisit the administration of Luis' funds. If he has established a good academic record in school, we might want to reconsider our reimbursement policy for his expenses.
