 COURSE DESCRIPTION FOR
MANAGE YOUR TIME EFFECTIVELY USING OUTLOOK 98

Throw away your paper dayplanner and little scraps of paper with notes, reminders and addresses. Did you know Outlook has many features to help you manage and organize your life? Outlook lets you manage all your critical information in one place to reduce typing, save time and increase productivity. The class is instructor-led with lots of hands-on activities. Learn to:

  • Approach your day from a different perspective.
  • Analyze your day and understand the importance of entering activities into the TaskPad and scheduling appointments.
  • Create automatic and manual Journal entries to keep track of daily activities.
  • Organize personal and professional items in personal folders, public folders and personal distribution lists.
  • Recognize the benefits of scheduling appointments for yourself, creating different types of events, selecting a template for repeated use of a format, customizing a message form to add preferred field information and attaching an existing message to a new message.

LENGTH

One four hour session.

PREREQUISITES

Outlook - Level 1, Windows - Introduction and Word - Level 1. You also need to have a good understanding of basic Microsoft Windows, file management and personal computers.

SPECIFIC CLASS CONTENT

Lab Activity 1: Approach your day from a different perspective
Analyze how you spend your time
Recognize the need for a plan
Add the details of your day or week
Schedule appointments for time out of the office

Lab Activity 2: Record almost every move you make
Set automatic Journal options
Create an automatic Journal entry
View the automatic Journal entry
Mark the task as complete and manually record it

Lab Activity 3: Organize personal and professional items
Create a personal folder for your expense reports
Create a public folder for meeting minutes
Create a personal distribution list for your tennis league
Mark these tasks as complete and manually record them

Lab Activity 4: Work with what you already know
Use appointments to schedule time for yourself
Create events for a birthday and a vacation
Use a template to save time
Add the Due By field to a message
Attach an existing message to a new message

NECESSARY SOFTWARE AND HARDWARE

  • An IBM or IBM-compatible computer equipped with Microsoft Outlook 98 and Microsoft Office 97.
  • A user profile and permission status to create public folders in Outlook 98.
  • A connection to a Microsoft Exchange 5.5. Server.
